This is the full path for Xero, from an empty account to bills posting the way you want them to.
- Set up a Cosmic Bills trial account.
- Connect to your Xero organisation.
- Test the connection and upload a bill.
- Map suppliers and products — optional, but worth doing.
Step 1: Set up a trial account
Register for a Cosmic Bills account from the Cosmic Bills for Xero page, choosing the region your Xero organisation is in.
Step 2: Connect to Xero
You are sent to the Xero sign-in page. Sign in if you are not already, then Xero asks you to authorise Cosmic Bills to access your data. Choose the organisation you want to connect and select Allow access.
If you cannot select an organisation

Step 3: Test the connection
Upload one invoice file rather than a batch. When processing finishes, the bill appears in the Review and approve tab. Approve it and check how it looks in Xero before you rely on it.
Step 4: Configure your settings
Three settings are worth changing. Everything else can stay as it is.
- Map a supplier to a particular expense account. See Account codes on bills to Xero.
- Map a product to a particular expense account.
- Choose how you want bills uploaded — see the three upload options below.
| Option | What happens |
|---|---|
| Default | You upload and wait on the screen until scanning finishes. |
| First upload option | You upload and can leave. You are emailed when the bills have been scanned. |
| Second upload option | You upload and can leave. Bills are scanned and posted to Xero directly, and you are emailed. |
Step 5: When data does not extract the way you want
Email support@cosmicbills.com with the invoice attached. Cosmic Bills uses machine learning to improve extraction, which takes time to work on its own — sending the document in gets it resolved faster.
