Terms of use

The terms that apply when you use Cosmic Bills.

This document is a consolidation of the policy text currently published across several pages of the Cosmic Bills website. It has been edited for clarity and duplication, and it is not approved legal wording.

It is consolidated from three overlapping pages on the current site, which contradict each other on trial length and refund treatment. Where they conflict, the most recently modified wording has been used and the conflict has been flagged rather than resolved.

It must be reviewed by a qualified adviser and given an effective date before the site goes live.

1. The service

These terms are binding on any use of the service and apply to you, a registered user, from the time Cosmic Bills provides you with access to it.

Cosmic Bills processes invoice data for you. On these terms, "invoice" means every document you submit for processing — a purchase bill, a sales invoice, a receipt, an order confirmation, or anything else you upload.

The service changes over time, and those changes are published on this website. It is your responsibility to make sure you have read, understood and agree to the most recent terms.

2. Free trial

TODO: VERIFY — the trial length and included document allowance must be settled before this document is published. The current website states at least five different combinations across its terms, privacy policy and product pages: 14 days with 20 documents, 15 days with 100, 30 days with 500, 14 days with 100, and 150 documents on the Reckon Hosted page. One of these has to be correct, and the rest must be corrected everywhere they appear.

After the free trial, you must pay for the service if you wish to continue using it. You must not create different usernames to obtain the same service more than once. Use of the service may be subject to limits, including monthly transaction volumes.

During the free trial you provide an email address, which is used for communication between us. It may be added to a newsletter list, which you can leave using the unsubscribe link in any newsletter. You may optionally provide a phone number, which may be used to check whether you have questions we can help with.

3. Your data

Your invoice data remains your property. Access to it is contingent on payment of the Cosmic Bills access fee when due. If an account goes unpaid for more than a year, Cosmic Bills may delete its data without notice.

You must maintain your own copies of all data you put into the service. Cosmic Bills follows a data back-up regime and the record-keeping practice used in the accounting industry, retaining records for a minimum of seven years. Cosmic Bills does not guarantee that there will be no loss of data, and excludes liability for any loss of data however caused.

A Cosmic Bills account can be renamed on request. Your connection to a company in an accounting system can be disconnected and reconnected to a different company, on the same or a different accounting platform.

4. Extraction accuracy

Cosmic Bills processes invoice data automatically and acknowledges that the success rate is less than 100%. Cosmic Bills attempts to extract line items from every invoice but does not guarantee that line items will be extracted from all of them.

It is your obligation to validate all extracted invoice data before using it for accounting or any other purpose. Cosmic Bills excludes any liability for inaccuracy in invoice data extraction.

5. What counts against your quota

Cosmic Bills charges every invoice processed from your invoice-uploading emails, your manually uploaded files, or a connected cloud storage account, against the document quota allocated at the time of your subscription payment.

This applies regardless of whether the invoice arrives as an email attachment, in the body of an email, or as a hyperlink in an email body; regardless of the document type; and regardless of whether the data extraction was accurate.

6. Subscriptions, cancellation and refunds

Subscriptions can be cancelled at any time. No refund is issued on cancellation, and any remaining unused documents are forfeited. This applies whether you change your mind, your circumstances change, or Cosmic Bills ceases operating for any reason.

TODO: VERIFY — Australian Consumer Law provides consumer guarantees that cannot be excluded by contract. A blanket "no refund in any circumstances" clause is likely to be unenforceable against Australian consumers and small businesses, and comparable protections apply in the United Kingdom and parts of the United States. This clause needs legal review before publication.

TODO: VERIFY — the current terms state that the application blocks when 50 documents remain, described as being "for security". If that behaviour still exists, it needs to be explained here in terms a customer can act on, because it means a paid quota is not fully usable.

Cosmic Bills may change these terms at any time, including prices, the number of documents included in a plan, and the subscription model.

7. Payments

Cosmic Bills does not store your payment card details. Card payments are processed by Stripe.

8. Governing law

TODO: VERIFY — the current terms do not specify a governing law, jurisdiction, dispute resolution process, or limitation of liability cap, and they do not identify the contracting legal entity. Cosmic Bills serves customers in Australia, the United Kingdom and the United States. All of this needs to be added under legal advice before publication.
